AKlyx (https://aklyx.com) provides school management software that helps schools manage admissions, students, fees, receipts, promotions and attendance. This Privacy Policy explains what information we collect, how we use it, and the strict limits we place on how it can be used. We are committed to protecting the privacy of schools, staff, parents and students who use our platform.

Information we collect

We collect only the information needed to operate the service for your school:

• Account & contact data — names and email addresses of school administrators and staff used to create and secure accounts.
• Student & parent records — student profiles, guardian/parent details, class and section, and contact information entered by the school.
• Operational data — fee structures, payments, receipts, concessions, attendance and promotion records created while using AKlyx.
• Technical data — basic device, browser and log information used to keep the service secure and reliable.

Email addresses & communications

This is the core of our data-handling commitment, and we want it stated plainly and without ambiguity:

In practice this means email is used only for:

• Operational authentication — one-time passwords (OTPs), sign-in verification and account security alerts.
• Registration updates — confirmations and important notices about your account and subscription.
• Critical academic notifications — essential school communications such as fee receipts, due reminders and administrative announcements initiated by the school.

We do not send unsolicited promotional or marketing email to users, parents or students, and we never enroll recipients into third-party marketing lists.

How we use information

We use the information we collect to provide, secure, maintain and improve the AKlyx service, to authenticate users, to deliver the operational and academic communications described above, and to comply with our legal obligations. We do not use student or parent data for advertising or profiling.

Data sharing & disclosure

Schools own the data they enter into AKlyx. We do not share, rent or sell personal data — including email addresses — to third-party marketing agencies, data brokers or advertisers. We share data only in these limited cases:

• With your school — authorised staff of the school that owns the records.
• Service providers — vetted infrastructure and email-delivery providers acting strictly on our instructions to operate the service (for example, sending an OTP), under confidentiality and data-protection obligations.
• Legal requirements — when required by applicable law or valid legal process.

Data security

We protect your data with encryption in transit, access controls and role-based permissions so that only authorised staff can view sensitive records. Data is regularly backed up. While no system can be guaranteed perfectly secure, we work continuously to safeguard the information entrusted to us.

Student data

AKlyx processes student information on behalf of, and under the direction of, the school (the data controller). Student data is used exclusively to deliver school-management functions. It is never used for marketing, and is never sold or shared with third-party marketing agencies.

Data retention

We retain school, staff, parent and student data for as long as the school maintains an active account, and only as long as needed to provide the service or meet legal obligations. On account closure, data is deleted or anonymised within a reasonable period, subject to applicable law.

Your rights

Subject to applicable law, individuals may request access to, correction of, or deletion of their personal data. Because schools control the records they enter, such requests are typically handled through the relevant school administrator; you may also contact us directly and we will assist.
